Q:

….how long it’s been since someone’s been online, how do YOU keep track of the inactive members? I know I have a ton and I feel like cleaning. I just want some tips from everyone! Thanks ahead of time for your answers!

Well, as far as the regularly active ones, it’s easy to remember when they were last on, and one of the ways I decide to rank people up is by activity amongst many other things. A little bonus to that approach is if someone gets on once or twice after being invited then never shows again, their rank never goes up and I can keep an eye out to see if they ever get on. Also, you need to task your officers to keep an eye on the roster when you aren’t there. I don’t require nor really want anyone taking “attendance” but a quick scan every so often not only helps ensure you see when people first get on and can be properly greeted for the day, but also familiarizes with who is on and who is not. That being said, sometimes I do have a few I run into that are in question and no one knows for sure, so I get out my trusty notepad, take the name down, and keep an eye on it. The last thing I like to do is kick people and I have very lenient time limits compared to most guilds, but I do have limits nonetheless. Lastly, we use our website regularly, and if someone needs to take a leave of absence for an extended period of time, we just use the website to stay in touch and know when they will be back. I take a lot of interest in what happens to my members in and out of the game because we are all friends and pretty much like a family too, albeit dysfunctional at times lol, and I like to make sure everyone is ok should they have emergencies or whatever. So long-winded post summed up: I guess just communication and relying on your officers to aid you, as well as utilizing outside sources such as a guild website are the best methods I have found thus far to help manage it.

I think you may also be able to tell by the persons name in the guild. If they have been online recently it shows the last toon that they played that is representing your guild. Otherwise it says offline but does not show the last toon they played. I assumed this meant they hadn’t played for a few days… or week or something.

This is a guess and i could be mistaken, do correct me if i’m wrong.

Its kind of random when it does that, I have a few I know for a fact haven’t been on in quite some time but it still shows all their info, yet some who have been off for a week or so and it shows “unkown”

Well, I’m the leader of my guild, and we’ve gone from 70 active members to about 15-20.

Now our guild was set up as a in game haven for those from our gaming community (mainly counter strike and team fortress) to come and play gw2 with their friends. many have moved onto, or back to other games.

I personally will not kick or clear out any of them, not just because I know them all anyway from other games, but because you never know when they’ll be back.

With no monthly fee, gw2 has a great opportunity for players to return, even if only for new added content, or special events, or just to have a quick run around when no other games taking your fancy, imagine if they return to find they’re guildless.

Until we reach the 500 member guild cap (and i cant see that happening) I’ve leaving everybody where they are. no point missing out on potential influence

Two ways.

One is a server reset causes everyone to show up as “offline” or in an “unknown location” until they log back on.

Also, one of our officers keeps track of people not representing/on another server/hasn’t logged on by writing their names down. Then we compare to what we’ve noticed and boot if we agree that they haven’t been on/representing/on our server.

If it’s someone you are particularly concerned about, as in you’re really not quite sure, your officers aren’t sure, maybe the person has been logging on at times when few or no others are on…that kind of thing… Then I would suggest sending a mail along with the kick. Briefly explain what the removal was for and tell them to reply or get in touch with you if they want to stay. If you don’t hear from them, there’s your answer. If you do, then they can explain their situation.

I’m not the guild leader but my guild recently did an activity check by requiring everyone to log in to their forum and post in the relevant topic. We were given 2 weeks to do it and anyone who didn’t (and didn’t give a reason either in game or via the Facebook group) was kicked out.

I think that worked well. I’m probably the least likely to visit the forum and even I didn’t mind doing it and I don’t think there were any mistakes. (And as an added bonus it got people like me on the forum and looking at things like upcoming events.)

The downside is of course that you need a forum, or a Facebook group or something similar, but I think quite a lot of guilds have them now.

I don’t, because we don’t rank members in Gamut.

But we are also not going to see guild cap at any point in the foreseeable future. Are you running out of space in your guild? If you have a forum or some other central hub, you could write a notification that you want to clean up the roster, and for any active members to please send you a quick one-line per mail next time they sign in the game. Then you give it some time (a week, couple weeks, a month, whatever seems appropriate) and kick whoever didn’t send that message?

There is no reliable way right now to tell last login (and even if there were, logging in is not necessarily the same as actually being active), so you’ll have to use some workarounds.

To join my guild, someone is required to fill out a brief application on our forum. It’s nothing big or lengthy, just a chance for us to get to know a little bit about the potential new member. Our application also lets me keep track of when new members joined because there is a time stamp of when it was posted. I can then look over them with ease to remind myself when they joined to get an idea of how active they are.

You can try looking at achievement points. Also if you kick an active person by mistake they will probably get back to you wondering why. An inactive person obviously wouldn’t.

It would be best to explain the kick in a mail, so that if there is a misunderstanding about activity, it can be solved. A person, who has not done anything wrong and who has been consistently playing getting suddenly kicked would feel insulted. Some would get back to you, probably in a negative tone, and some would not ever talk to you again. Both might well talk to other people, however, about being treated unfairly. Reputation matters.

Yeah hopefully they polish up the guild systems soon, it’s actually a pretty integral part of the game for many people. It’s an update I have been anxiously awaiting (as well as one that implements some kind of guild hall system like GW1, but I know that’s a long time down the road yet). I just hope when they do add an activity counter they can split it up somehow so it’s not reading their online time while they represent other guilds as them representing yours and being active.
